How Online Mediation Works: A Step-by-Step Guide

Online mediation makes it possible to work through disagreements without everyone needing to be in the same physical location. This can be particularly helpful when people live in different cities or countries, have busy schedules, or simply feel more comfortable having difficult conversations from their own space.

But what actually happens during online mediation?

Step 1: Making Initial Contact

The process usually begins when one person gets in touch to enquire about mediation.

At this stage, I will ask for some basic information about the situation and the people involved. This is not about deciding who is right or wrong. It simply helps me understand the nature of the disagreement and whether mediation may be appropriate.

Before mediation begins, it is important that everyone understands the process and agrees to participate voluntarily.

Step 2: Preparing for Mediation

Before the joint mediation session, there may be an opportunity to discuss practical arrangements and any concerns about the process.

For online mediation, this also means making sure everyone has access to a private space, a reliable internet connection, and a device suitable for video calls.

Confidentiality is an important part of mediation, so participants should join from somewhere they can speak freely without being overheard.

Step 3: Beginning the Conversation

At the start of the session, I explain how the mediation will work and establish some basic guidelines for respectful communication.

Each person is then given an opportunity to explain the situation from their perspective.

My role is not to judge those perspectives or decide which version is correct. Instead, I help structure the conversation so that everyone has an opportunity to speak and be heard.

Step 4: Understanding What Really Matters

Conflict is often about more than the issue that first appears on the surface.

During mediation, we explore the concerns, needs, and interests behind each person's position. This can help participants understand not only what the other person is asking for, but why it matters to them.

Sometimes simply understanding the other person's perspective can change the direction of a conversation.

Step 5: Exploring Possible Solutions

Once the main issues have been identified, the conversation can move towards possible ways forward.

Rather than having a solution imposed by someone else, the participants themselves explore options and decide what may be workable.

I help keep the discussion constructive, clarify areas of agreement and disagreement, and encourage consideration of practical solutions.

Step 6: Agreeing on the Way Forward

If an agreement is reached, the outcome can be summarised so everyone has a clear understanding of what has been discussed and decided.

Not every mediation ends with complete agreement on every issue. Progress can also mean improving communication, resolving some parts of a disagreement, or gaining a clearer understanding of what needs to happen next.
